The data we collect
Depending on how you use our website, we may collect the following personal data:
- Your name and contact details, such as your email address and telephone number.
- Your delivery address so that we can send your order.
- Your order history and details of the products you have bought.
- Messages you send us through our contact form or by email.
- Your email address if you choose to sign up to our newsletter.
Payments are handled by Stripe, our payment provider. Stripe processes your card details securely on our behalf. We never see or store your full card number.
How and why we use your data
We only use your personal data where we have a lawful basis to do so. The main ways we use your data, and the lawful bases we rely on, are set out below.
To fulfil your order (contract)
We use your name, contact details, delivery address and order details to process your order, take payment, deliver your goods and provide customer support. This is necessary to perform our contract with you.
To meet our legal obligations (legal obligation)
We keep records relating to your orders and payments to comply with tax and accounting law. We retain these records for six years, as required.
To run and improve our business (legitimate interests)
We use certain data to prevent and detect fraud, to keep our website secure, and to understand and improve the service we offer. Where we rely on legitimate interests, we make sure that our interests do not override your rights.
With your consent (consent)
We send our email newsletter only to people who have opted in, and we load analytics only where you have given consent through our cookie banner. You can withdraw your consent at any time.
Marketing and the newsletter
If you opt in to our newsletter, we will use your email address to send you news, offers and hobby content. We use Brevo as our email newsletter platform to manage and send these messages. You can unsubscribe at any time using the link in any newsletter, or by contacting us. Unsubscribing from marketing does not affect emails we send about orders you have placed.
Who we share your data with
We do not sell your personal data to anyone. We share it only with trusted parties who help us run our business, and only as needed. These include:
- Stripe, which processes card payments securely on our behalf.
- Google Analytics 4, which helps us understand how the website is used. Analytics is loaded only after you give consent through our cookie banner, and it operates with Google Consent Mode. IP addresses are anonymised.
- Brevo, our email newsletter platform, if you have opted in to marketing.
- Delivery couriers, who receive your name and delivery address so they can deliver your order.
We may also disclose data where we are legally required to do so, for example to comply with a legal obligation or to protect our rights. Some of our providers may process data outside the UK. Where they do, we take steps to ensure your data continues to be protected to an appropriate standard.
Cookies and analytics
Our website uses cookies to work properly, to keep your basket and session secure, and, with your consent, to help us understand how the site is used. Analytics cookies are only set once you have agreed through our cookie banner. For full details of the cookies we use and how to control them, please see our Cookies Policy.
How long we keep your data
We keep your personal data only for as long as we need it for the purposes described in this policy. Order and payment records are kept for six years to meet tax and accounting requirements. Newsletter data is kept until you unsubscribe or ask us to remove it. Where we no longer need your data, we will delete it or make it anonymous.
How we protect your data
We take appropriate technical and organisational measures to keep your personal data secure and to protect it against loss, misuse and unauthorised access. Payment card details are handled securely by Stripe and are not stored by us.
Your rights
Under UK data protection law, you have a number of rights over your personal data. These include the right to:
- Access the personal data we hold about you.
- Have inaccurate data corrected (rectification).
- Ask us to delete your data (erasure), where applicable.
- Restrict how we use your data in certain circumstances.
- Receive your data in a portable format (portability).
- Object to processing based on our legitimate interests.
- Withdraw your consent at any time, where we rely on consent.
To exercise any of these rights, please contact us at hello@buzzpaints.com. We will respond within the time limits set by law. Withdrawing consent does not affect the lawfulness of any processing carried out before you withdrew it.
Complaints
We hope to resolve any concerns you have about how we handle your data. If you are not satisfied, you have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator. You can find out more and contact the ICO at ico.org.uk. We would appreciate the chance to address your concern first, so please do come to us before contacting the ICO if you can.
